Please read the policies below that help us to keep these standards high and allow us to offer you the flexibility that has become our standard. We at Aradia Fitness appreciate your business and want to continue to offer the high quality and variety of classes at our dance studio in Calgary.

Class Registration & Attendance:

Pre-registration is required for any & all classes you wish to attend. Clients who pre-register are given first priority on attendance; many of our classes have limited space and walk-in clients are not guaranteed admittance to class. Classes with two (2) or less clients registered 5 hours prior to class time are subject to cancellation at management’s discretion. Please register in advance to assist us with managing our convenient schedule and class sizes! Please select your classes carefully and please do not register for classes that overlap each other.  Some Aerial and Pole classes run at the same times and end at different times however without a cool down or warm up in one or the other class, this could cause injury.  It is also disruptive to other students when people are jumping in or jumping out of classes at different times.  There are plenty of options available so please view the schedule to select classes that you can complete in full. Attendance is our Pole Dance level or Aerial level classes are strictly monitored for safety & liability reasons. First-time pole / aerial students MUST first attend an Intro class and will not be admitted to any other class until this is completed.  To advance within our pole dance level curriculum, attendance in a minimum of eight (8) classes of your current level is required.  To advance within our aerial level curriculum, attendance in a minimum of twelve (12) classes of your current level is required.  Once minimum attendance is reached, clients must undergo a “Level Up” assessment with their instructor to demonstrate their capability to advance to the next level.  Taking at least one class per week (if not more) will help you progress faster than taking classes infrequently.  Just like any other fitness regiment, the more you put in, the better the results!  Pole and aerial students with previous experience, who are visiting Aradia Fitness for the first-time, should email us at calgary@aradiafitness.com for a consultation on the appropriate level placement.

Refund Policy:

All sales are final. In the event you cannot make your class, please de-register online atleast 12 hours in advance of the start time.  If within the 12 hours, your class will be considered a late cancel.  Expiration date extensions on Class Packs will not be granted, unless due to extreme emergency – expiration date forgiveness may be granted on a case-by-case basis.  It is the student’s responsibility to be aware of the expiration date of single classes & class packages. Exception: If a medical condition or injury prevents you from attending classes, we will offer a Gift Certificate based on a doctor’s note outlining why the injury/condition affects your participation and the classes left in the set once we are alerted to the condition. Pregnancy: Aradia Fitness Policy does not allow pregnant women, at any stage, to participate in pole dancing classes. If you become pregnant during your session, we will provide you with a Gift Certificate for your remaining sessions.

Late Cancel/No-Show Policy:

Aradia Fitness offers a hassle-free class cancellation policy up to twelve (12) hours prior to any class time  (*most fitness studios have a 24 hour cancellation policy).  Any pre-paid class credits will then be placed back onto your account for future use should you cancel on time.  All cancellations less than twelve (12) hours prior to the class will be considered a “late cancel”. Clients who register for a class but do not attend will be considered a “no show“. For both “Late cancel” and “no show” events, the following will occur: Clients with Class Packages will have a class credit removed from their current class pass. Clients with Gold, Silver or Bronze Membership Contracts will have a class credit removed from their monthly total and charged the Late Cancel / No Show fee of $15 +GST for each late cancel or no showClients with Platinum Membership Contracts or the New Aradia Client Special (2 Week Intro) will be assessed a $15 fee (+GST) for each late cancel or no show.  Clients with a purchased Design Fit Class will lose that class credit.  Students must settle any negative balances prior to attending any future classes. Thank you in advance for your consideration – your understanding of our policies allows us to continue to offer you our quality classes at affordable prices. Exceptions to this policy may be made at the discretion of the management only. *Aradia reserves the right to cancel a class due to low registration, inclement weather, instructor illness, or any other reason.  If Aradia cancels a class and you have pre-registered and pre-paid for that class, your credit will revert to your account.  In the event of Aradia cancelling a class near the end of your credit’s expiry date, extensions to the expiry date may be made at management’s discretion. Inquire with studio management in these cases.

Memberships:

A valid credit card is required to be kept on file for all Memberships and monthly dues are automatically charged to the credit card.  Alternate payment arrangements must be discussed with studio management.    Membership agreements are now paperless and maintained in the online registration system.  The member must confirm the contract online or the studio owner will confirm on their behalf with the member’s written authorization.  Note that this is a binding contract and your electronic confirmation is equivalent to a signature.  Because this is a contract, any cancellations will incur two (2) monthly payments as an additional charge.  Please read the membership contract carefully.  Pre-registration for all classes is still required and should be managed through the online registration system. Injuries:  You can suspend your membership payments with a doctor’s note for up to three months.  Suspended payments will be added to the end of your contract. Vacation:  You can suspend one monthly payment once per year should you be leaving for a long vacation. *Please keep in mind, while your membership is suspended, you will not be able to register or attend any classes during that time. 

Single Class and Class Pack Expiry:

As noted under our Pricing tab as well as through online purchase, our Single Class and Class Packs for both Pole and Aerial expire 6 months after date of sale.  To help with any extenuating circumstances, expiration date extensions may be granted on a case-by-case basis.  If granted, the following charges will apply:  $5+GST/class up to a maximum of 5 classes (total of $25 +GST) for a one time ONE MONTH extension only. It is the student’s responsibility to be aware of the expiration date of classes & class packages.

Privacy & Class Conduct:

Safety and comfort are of utmost priority at Aradia Fitness. Clients are expected to be respectful and attentive in classes.  Exercises should be limited to those directed by your instructor.  Students who chose to attempt exercises outside those being taught in class may be asked to leave class with no refunds.  At times, your instructor may not allow you to attempt a new technique… please understand this decision is for safety reasons as they may not feel comfortable spotting you or they may feel your body is not quite ready to attempt the technique. We ask that cell phones be turned off or placed on silent during class to avoid disruptions. Please keep conversations with classmates to a minimum. While we love that you are excited to see your friends in class, loud conversations are disruptive to your other classmates and may cause you to miss important instruction or exercise cues from your instructor Video and photos are not permitted during class. After class is completed, if there is time prior to the next class, your instructor may allow you to take photos or videos if you wish. Please keep in mind that your classmates may not want to be in your photo or video – it is important to ask them first or to ensure your image does not contain others in it. Many of our classes simply require yoga pants & a t-shirt. Minimum attire for classes is shorts and sports bra. All intimate body parts must be covered at all times. As students progress into higher pole dance levels students should expect to wear the appropriate attire for safely executing more difficult pole techniques. Dance shoes are welcome in Pole 3 and above – please NO street shoes (indoor shoes allowed for ZUMBA classes)! Feel free to reach out to your instructor or email us for recommendations on appropriate pole shoes for class. Shoes should have rubber soles and be free of buckles, straps and anything that may potentially damage our equipment. Students wearing inappropriate attire may be asked to leave class with no refunds given. If at any time you feel uncomfortable in class, for any reason, please let your instructor know immediately or contact us after class by email or phone.

Party and Private Event Bookings and Deposits:

To reserve your preferred date and time for a private party, workshop or event, we require full payment.  Any additional costs, such as extra people attending a party, must be paid at the studio before starting the private booking.  Cancellations made up to 14 days before the private booking can be refunded minus a $50 cancellation fee.  Cancellations made within 14 days of the private booking will not receive a refund but will have a credit for a future booking (*see admin fee).  We will always attempt to accommodate rescheduling the time of your party within the same day, depending on availability, with no penalty.  *A $25 administration fee will apply to requests for rescheduling to a different day.  Exceptions to this policy may be made due to extenuating circumstances at the sole discretion of the studio management.

Other Services:

Pre-payment with registration in any other services offered by the studio (for example but not limited to workshops, private or semi-private lessons, Teasers, etc.) are generally non-refundable however exceptions to this policy or studio credit will be considered at the discretion of management.

Inclement Weather Policy:

At any time, the studio may chose to cancel classes in the case of inclement weather/dangerous travel conditions.  Should the weather forecast be calling for potentially hazardous conditions, the studio will send out an e-mail and post on Facebook as early as possible to alert students to the possibility of a cancellation.  Once alerted, we will endeavour to make the call and communicate cancellations a minimum of 2 hours before the posted start time of the class.  If the studio cancels classes due to weather, all registrations will be early-cancelled and credits will be returned to the students’ accounts.  If the studio choses to run classes and keep the studio open but a student choses not to travel to class at their own discretion and it is within the late-cancel window, the student should notify the studio and the studio management may chose to early cancel the student’s registration, at their discretion.  No refunds will be provided for class cancellations due to inclement weather.  For Workshops and Parties, exceptions to the no-refund policy may be made at the discretion of management.


These policies supersede any previously posted policies and any previously dated policies on written documents including those outlined in paper membership contracts and may be changed at any time at the discretion of Aradia Fitness Calgary management.
